A UK business has three ways to get a virtual assistant: a UK-based freelance VA, an assistant working from abroad, or an agency. This guide focuses on the second, because that's where most of the savings and most of the questions are: what to pay, which countries work your hours, what a UK employee would really cost by comparison, and the tax and data rules.
What an assistant abroad costs
| Route | Published price |
|---|---|
| Freelance VA on Upwork, worldwide | $10–20 an hour typical, from past contracts |
| VAs in South Africa (Upwork) | $5–20 an hour |
| VAs in Kenya (Upwork) | $6–15 an hour |
| VAs in Nigeria (Upwork) | $8–12 an hour |
| Full-time VA in the Philippines, hired direct | $480–900 beginner, $800–1,100 intermediate, $1,200–2,000 expert, a month (OnlineJobs.ph, April 2026) |
Upwork's country figures are the rates freelancers list, so treat them as a guide. The Philippine figures are full-time monthly salaries that remote workers report. Prices are in US dollars, which is how most remote workers quote; your cost in pounds moves with the exchange rate. For every role and country, see how much a virtual assistant costs.
What a UK employee really costs
If you're weighing a remote assistant against hiring in the UK, compare the full cost of employment, not the wage:
- The wage floor. The National Living Wage for workers aged 21 and over is £12.71 an hour from 1 April 2026, up from £12.21. An experienced PA earns more.
- Employer National Insurance. 15% on earnings above the secondary threshold of £5,000 a year (2026 to 2027). Small employers may be able to claim the Employment Allowance, £10,500 for 2026 to 2027.
- Workplace pension. Under automatic enrolment, the employer pays at least 3%, and the total minimum contribution is 8%.
- Holiday, sick pay, equipment and recruitment come on top.
A remote contractor abroad has none of the employer costs, but you do the managing, and you lose the protections and loyalty that come with employment. Pick the model that fits the work.
Which countries work UK hours
Here's a London 9 to 5 in the assistant's local time:
| Assistant's city | London on GMT (winter) | On BST (summer) |
|---|---|---|
| Lagos | 10 am to 6 pm | 9 am to 5 pm |
| Warsaw | 10 am to 6 pm | 10 am to 6 pm |
| Johannesburg | 11 am to 7 pm | 10 am to 6 pm |
| Nairobi | noon to 8 pm | 11 am to 7 pm |
| Kolkata | 2:30 pm to 10:30 pm | 1:30 pm to 9:30 pm |
| Manila | 5 pm to 1 am | 4 pm to midnight |
Lagos, Johannesburg, Nairobi, Kolkata and Manila don't change their clocks; Warsaw changes on the same dates as the UK, so its overlap stays the same all year. In practice:
- Your working day: Lagos, Johannesburg, Nairobi and Warsaw cover it at normal local hours.
- Overnight: a Manila day shift is your night, so work done overnight is waiting in the morning.
English
In the EF English Proficiency Index 2025, South Africa ranks 13th of 123 countries, Poland 15th, Kenya 19th, the Philippines 28th and Nigeria 29th. The index comes from people who chose to take EF's online test, so it says little about any one person. Test the individual. For customer-facing work, ask for C1 on the CEFR scale; our CEFR guide explains the levels.
Tax and status
HMRC's guidance says a worker who isn't UK resident and works outside the UK "is unlikely to fall within the charge to UK tax or NICs", and then the off-payroll working rules (IR35) don't apply. That changes if they work days in the UK or you give them a UK employment contract. The worker deals with tax where they live. Our guide to paying overseas contractors covers the paperwork and moving the money.
Data protection
If the assistant will see your customers' personal data, you're likely making what UK GDPR calls a restricted transfer. The ICO says every restricted transfer must be covered by one of:
- UK adequacy regulations for the country, which the ICO calls "the most efficient way to make the restricted transfer";
- appropriate safeguards, such as the International Data Transfer Agreement (IDTA) or the International Data Transfer Addendum, plus a transfer risk assessment to make sure protection isn't "materially lower";
- an exception, which the legislation calls a derogation.
In practice, put the IDTA (or the Addendum) into your contract, give the assistant named accounts and only the access the work needs, and record your risk assessment.
How to hire one
- Write a one-paragraph brief: tasks, hours in UK time, English level, tools.
- Test before you interview: English, typing and a short paid task.
- Agree a contractor agreement with confidentiality and data terms.
- Start with a 30-day trial on low-risk work.

Questions people ask
How much does a virtual assistant cost in the UK?
A virtual assistant working from abroad typically charges $10 to $20 an hour on Upwork, from past contracts worldwide; Upwork lists $5 to $20 in South Africa, $6 to $15 in Kenya and $8 to $12 in Nigeria. A UK-based freelance VA sets their own rate, so ask for quotes. For comparison, a UK employee can't be paid less than the National Living Wage of £12.71 an hour (from April 2026), before employer National Insurance and pension.
Do I pay National Insurance for a virtual assistant abroad?
Usually not. HMRC's guidance says someone who isn't UK resident and works outside the UK 'is unlikely to fall within the charge to UK tax or NICs', and the off-payroll (IR35) rules then don't apply. Days worked in the UK, or a UK employment contract, can change that.
Can a virtual assistant abroad handle my UK customers' data?
Yes, but it may be a restricted transfer under UK GDPR. The ICO says each one must be covered by UK adequacy regulations, appropriate safeguards such as the International Data Transfer Agreement (IDTA) or the Addendum, or an exception; with a safeguard you also need a transfer risk assessment.
Which countries work UK hours?
South Africa, Nigeria, Kenya and Poland. A London 9 to 5 in winter is 10 am to 6 pm in Lagos and Warsaw, 11 am to 7 pm in Johannesburg and noon to 8 pm in Nairobi. The Philippines works the UK evening and night, which suits overnight cover.
